General
Custom columns in lists (size, sort, display, ...)
Lists (documents, tasks, workflows) have been completely reworked to now allow you to organize the columns according to your own needs.
The new Cooperlink lists offer the following features:
- Fixed first column for easier reading
- Editable column width and position
- Customizable columns sets (hide/display standard and project metadata)
- Custom column sorting feature
Note that the adjustments made are saved per screen, project and user.

Lists options
Personalize your viewing experience with the new Cooperlink lists. By clicking the icon in the top left corner of the listing, you can:
- Show or hide vertical lines
- Displa a darker background
- Reset the current sort
- Reset the columns (order and size) to the default values

Documents
Automatic rename of file at upload
Possibility to activate “Auto-rename” to harmonize the files names based on the project metadata and document title.

Workflow status
A new "Status label" column allows you to display the workflow status (see screenshot above):
- When the workflow is in progress, the name of the step is displayed.
- When the workflow is closed, the final status is displayed.

Workflows
Presets - Distribution matrix
To facilitate your configurations and make the use of workflows more flexible, we have introduced the presets feature. As a genuine distribution matrix, you can now define workflow pre-definitions including role assignments and the assignment of default values on metadata.
Cooperlink also allows you to define folders and partners access rights to the different presets.

Stop workflow execution on positive outcome
This new option allows the workflow designer to trigger the workflow to close if a positive response (e.g. document accepted) occurs at an intermediate step in the workflow.

Improvements on detailed view
The workflow details screen has been improved to display individual actions. Previously, Cooperlink grouped columns by contributor. Now, when the same contributor is assigned to multiple actions, they are visible separately.

Transmittals for bulk documents
Cooperlink's workflow tool now handles the creation of a single transmittal when the user wants to group them together.
Multi-sheets cover
Does your project require a coverpage spanning more than one page? This option is now available in Cooperlink.
Allow workspace owner to edit workflow details started by guest user
In this new release, a workspace owner can now correct a workflow started by a guest user.
- Abort workflow;
- Edit workflow card (metadata);
Allow respondent to edit contributors during workflow execution
Make your workflows more flexible with this new option. With prior configuration, each contributor can now:
- Enable and/or disable the following contributors (e.g. the architect can decide to add the control office)
- Add and/or modify workflow metadata
Reports
Correspondence report
Cooperlink completes its report list with correspondences. The report allows you to extract all correspondences, their system data, their custom metadata, and related elements (e.g., documents).
Security & Authentication
ISO27001
Since 2024, Cooperlink has been actively working on the security of its application and organization with a view to ISO27001 certification. More recently, Cooperlink has commissioned a consultant with a view to certification in the summer of 2025. The Cooperlink team is actively working on revising its work policies and procedures, as well as implementing technical security measures.
SSO - Single-Sign-On (Microsoft Entra, EU Login)
Make life easier for your users by opting for single sign-on. SSO, or Single Sign-On, allows your users to authenticate to Cooperlink using their corporate account.
In addition to convenience, SSO allows IT teams to easily revoke accounts in the event of employee departure or turnover.
Cooperlink supports:
- Microsoft Entra (previously Azure AD)
- EU Login
Using SSO requires prior activation and an additional license.

Authentication reinforcement
To strengthen your organization's security, Cooperlink allows customization of authentication options:
- Customizing password complexity
- Detecting and blocking repeated failed attempts
- Detecting and blocking inactive users
Security enhancements are performed per server. Please contact your account manager or customer success manager for more information.
Single account for multiple tenants
Originally, Cooperlink did not allow a user to access multiple tenants (companies) with the same account. With this new version, Cooperlink allows your partners to switch between different tenants.
Configuration
Centralized value lists
Centralized lists allow you to encode PICKLIST metadata once and reuse it across different cards in the workspace.
The value list editor has also been improved to make your encoding easier:
- Visual distinction of keys and labels
- Custom sorting of values
- Add an extra blank line using the ENTER key

Centralization of configuration in workspace
For several months now, Cooperlink's technical team has been adapting the software architecture to allow project teams to be completely autonomous in configuring their workspaces. Most of these changes have already been made. The following elements will be migrated in the next version:
- Document cards
- Task cards
- Correspondence cards
Technical
Multi-threading per tenant
Well hidden, yet essential for improving the performance of technical tasks performed in the background. Cooperlink now supports multi-threading, i.e., the simultaneous execution of technical jobs (e.g., generating multiple reports at the same time). The execution of technical jobs is significantly accelerated, especially when Cooperlink is busy with heavy processing in the background.
